What could AI save
your business?

Put a number on the opportunity. Separate time freed up from costs you can actually take out.

01 / Your team

The team or departments you want to assess.

Salary, employer contributions and benefits, in the selected currency.

02 / The opportunity

Share of working time spent on the workflows in scope.

After human review, exceptions and quality checks.

Lower spending or avoided hiring. The rest is capacity for other work.

03 / Cost & timing

Licences, usage, support and ongoing maintenance.

Integration, training and change management. An assumption, not an ORG quote.

No savings during rollout; full savings afterwards. Operating costs start in month one.

All costs use EUR. Changing currency changes the unit only; no exchange rate is applied.

Estimated annual net savings

€270,000

After rollout, after ongoing costs. 9% of the current payroll in scope.

First 12 months, net

€170,000

Includes rollout, running costs and implementation.

Payback from kickoff

4.4 months

Assuming costs and savings stay constant.

Current annual payroll
€3,000,000
Annual cash savings before AI costs
€300,000
Annual AI & operating cost
€30,000

10 people’s worth of time freed up

€600,000 in annual capacity value. Your cash assumption converts 50% into lower spending; the remaining €300,000 is time available for other work. Capacity is not added to cash savings.

An illustrative planning estimate, not a guaranteed outcome. Validate workflow quality, adoption and actual spending changes before budgeting.

How the calculation works

Capacity → cash → net savings

Annual capacity value = people × annual cost per person × repetitive-work share × time saved within those workflows.

Cash savings = capacity value × share converted to cash. Annual net savings = cash savings − 12 × monthly operating cost.

Timing and payback

First-year net = annual cash savings × (12 − rollout months) ÷ 12 − annual operating cost − implementation cost.

Payback = rollout months + (implementation cost + operating cost during rollout) ÷ monthly net savings. No payback is shown when monthly net savings are zero or negative.
